telecrm Automations
Create and Configure Webhook
If you want telecrm to automatically capture data from your other tools, webhooks are the way to do it.
Think of a webhook as a direct line between telecrm and your external systems — your landing page, payment gateway, lead forms, or any third-party app. The moment something happens there, like a form submission or a payment, that information flows straight into telecrm and turns or creates a lead or updates an existing lead's information, without anyone having to enter it manually.
In this video, we'll set one up together, step by step. By the end, you'll have a working webhook quietly bringing leads into telecrm on its own.
Steps to Create and Configure a Webhook in telecrm
- Open the telecrm web application.
- From the left-side navigation bar, click on the Automations icon. A side menu will appear with Workflows, Schedules, Salesform, API Templates, and Webhooks — click on Webhooks.
- Inside the Webhooks section, you'll find two tabs. Published displays all active, live webhooks that can receive requests, while Draft shows webhooks still under configuration, which don't yet receive any data. You'll also find a search bar to find webhooks by name, and a + Create Webhook option to start a new one.
- Click on + Create Webhook. In the popup that opens, enter a short webhook name (maximum 20 characters) — for example, Razorpay, LeadForm, Custom IVR, or Shopify — then click Create. telecrm will open a 7-step configuration wizard as seen on the left side of the Webhook Setup Section, and the webhook will remain in Draft state for now.
STEP 1: Webhook Details:
1. Enter the Slug, which defines the webhook endpoint, and it will be unique for each webhook that you generate — for example, razorpay, leadform, or websiteform. telecrm automatically generates the endpoint in the format https://next-api.telecrm.in/<workspaceId>/webhook/<slug>. The webhook name only appears inside the webhook list and does not affect the endpoint URL. The Webhook URL is auto-generated and can be copied. Click on the Next Step button to move on to the Next step.
STEP 1: Sample Request:
1. Get the payload structure body in which the data will be sent to this Webhook URL and paste it in the Request Body (JSON) sub- section under the Sample Request Step. telecrm needs this sample to understand the JSON structure, field names, and field types. Without it, the remaining steps cannot be configured. The Request Headers are optional, it is required in cases when authentication is needed to send data to telecrm. Request Query Params is a format for accepting data similar to Request Body Raw (JSON).
2. Click on Parse Sample, which will display your exact Request Body in your parsed format (Parse format removes the non-required details from the raw Request body, such as the curly brackets, inverted commas, colons, and running commas). Click on Next Step.
Step 3: Lead Identifier:
1. Choose the field that uniquely identifies the lead, which is your Unique Lead ID in the Workspace — commonly the Phone Number. telecrm uses this field to decide whether to create a new lead or update an existing one. If you want to create a New lead, then select the checkbox and command the system to do it for you. Click on Next Step.
Step 4: Idempotent Field:
1. It is an Optional Step to prevent duplicate webhook events; select an Idempotent Field such as order_id, transaction_id, or event_id. If the same value is received twice, telecrm ignores the duplicate — protecting against provider retries and accidental resubmissions. You can leave this blank if duplicates aren't a concern. Click on Next Step.
Step 5: Authentication:
1. To verify that incoming requests are genuine, configure authentication using methods like signature headers, a shared secret, or API signature validation (for example, Razorpay signature verification). It's recommended to always enable authentication for public webhook endpoints. This step is needed when authentication is required to send a request to a Public Webhook URL; therefore, it is an Optional step. Now click on Next Step.
Step 6: Map your Data:
1. Map the incoming JSON fields to your telecrm lead fields by searching — for example, name to Name, phone to Phone, email to Email, source to Source, and amount to a custom field. Any unmapped fields are ignored. Select the Type of the field that you are going to receive. Example: Name will be your Text Type field, Phone number will be a phone type field, and so on. Update the Label Name with the Field Identification names that you want to view in telecrm. Click on the Save Mapping option.
Step 7: Connect Automation:
1. In the last step, you have to create a Workflow automation associated with this Webhook to auto-trigger actions when webhook data is received — such as auto lead assignment, updating lead fields, sending WhatsApp messages, follow-ups, or status updates — open the View Workflow tab, and it will redirect you to the Workflow creation page associated with this Webhook. The Event is auto-selected as "On Webhook trigger"; now connect the Action nodes to achieve the desired result. Select the Update Lead field action to update the field information, and so on.
2. If any mandatory step is incomplete, telecrm shows a red "N Error" chip in the header. Click on the chip and telecrm will take you straight to the incomplete section.
3. Once everything is configured, click the Publish button at the top-right corner. The webhook moves from Draft to Published and is now live and ready to receive requests.
4. To create a similar webhook quickly, click Clone — useful when multiple sources require similar mappings.
5. Open the published webhook details page and copy the full endpoint URL, for example https://next-api.telecrm.in/<workspaceId>/webhook/razorpay.
6. Paste this webhook URL into your external source platform — such as Razorpay, a landing page form, Zapier, a custom application, or a third-party CRM. In this case, let's say our third-party partner is WooCommerce; go to Settings > Advanced > Webhooks > Add Webhook > Paste the Webhook URL to complete and Save.
7. Trigger a sample event from that source platform.
8. Open telecrm and navigate to the All Leads section. A new lead should appear, with all mapped fields containing the correct data.
And that's all you need to understand about how you create and configure a webhook in telecrm.
With your webhook published, mapped, and tested, your external tools now feed data directly into telecrm — every form, payment, or event turning into a lead automatically, with no manual entry in between. And if anything ever looks off, the webhook logs give you a clear view of every request, its status, and its payload, so troubleshooting is quick.
