WhatsApp Drip Sequence
Not every lead converts on the first message — most need a few well-timed follow-ups before they're ready. But manually messaging every lead, day after day, just isn't possible at scale. That's where WhatsApp drip sequences come in.
A sequence is simply a series of WhatsApp messages that go out automatically, spaced over time — so the moment a lead comes in, telecrm starts nurturing them on its own. A welcome message today, a product intro tomorrow, pricing a few days later, and so on, all without anyone lifting a finger.
Let's dive in to understand the process.
Steps to Build a WhatsApp Drip Sequence in telecrm
- Open the telecrm web app and sign in to your workspace.
- From the left-side navigation bar, click on the Automations icon, then click the Workflows option.
- Click on + Create Workflow at the top-right corner.
- The Select Event section will open. Choose the trigger that should start your sequence.
- Click Next. If telecrm shows a duplicate-check warning, it means a workflow is already live on the same event, and editing the same workflow is recommended since the system does not allow creating a new workflow. The workflow builder opens with your Event node already placed.
- A typical sequence follows this pattern: Event → Check If Condition → Send Template → Time Delay → Send Template → Time Delay → Final Action. You'll build this out step by step.
- If you want the sequence to run only for certain leads, drag a Lead Condition from the left sidebar and place it just below the Event node.
- Configure the condition by choosing a Lead Field, Condition, and a Value — for example, Lead status is Onboarding Done. This creates two branches: a TRUE or Green condition node that runs the sequence, and a FALSE or Red condition node you can leave empty or configure separately.
Non-Button Reply Template Message:
9. From the Actions sidebar, drag a Send Template Action and connect it after the Event node or the Check IF Condition Node with the TRUE condition.
10. Click the Send Template node and select the Message Time Interval (the options are One in an Hour, One in a day, and Every time). Select Every time if you want the message to be sent upon the completion of the Event conditions, and then select the approved WhatsApp template to send immediately. You may select any Image, Video, Text, or Document type template if you have added any variable field, like the name, city, or any other field value. Then you have to map the right variable and then click Save.
11. Now drag a Time Delay from the Actions sidebar and connect it after the first Send Template.
12. Open the Time Delay configuration and set the duration in minutes, hours, or days — common gaps are 24 hours, 2 days, 3 days, or 7 days. You also get an option to select the "Previous" step to target sending the template after the previous step condition is fulfilled. Next, if you want to send the message after or before a certain Date field, for example, the Onboarding Date, then you may choose the Lead Field variables option and select the right condition.
13. Add another Send Template after the time delay and configure your follow-up message. Continue alternating Send Template → Time Delay → Send Template → Time Delay, typically for 3 to 7 message touches depending on your use case.
14. Configure that final action based on what you need. For example: update the lead status, add a task (Call to Reactivate Lead), add the lead to a list (Re-Marketing Audience), or notify a manager or sales head.
15. To stop messaging once a lead converts, add a Lead Condition between your sequence steps.
16. Configure this as an exit condition — for example, Lead Status Equals Won. The Green node exits the sequence, while the Red Node continues to the next message. This prevents unnecessary follow-ups after conversion.
Templates with Button Replies:
17. If the message template carries the button replies, then ensure to connect each reply button with a specific end action. For example, in this case, we have 4 button replies: Try Now, Enable MCP, Will try later, and Stop promotions. The Non-template messages are drafted uniquely for each button.
18. An important part is to add an action for the Stop Promotions reply so that the system takes care of the customers who want to opt out of receiving the marketing messages. We have created a Custom Lead field of WhatsApp Opt Out Checkbox type that gets updated as soon as someone clicks on Stop Promotions.
19. Configure this as an exit condition — for example, WhatsApp Opt Out is True. The Green node exits the sequence, while the Red node continues to the next message. This prevents unnecessary follow-ups after conversion.
20. When your sequence is built, check the top header — telecrm shows an "N Error" indicator if any node is incompletely configured.
21. Click the error indicator and complete all missing configurations until you reach 0 Errors.
22. Click Publish at the top-right corner.
23. Once published, the workflow moves from Draft to Published, and the sequence automatically starts running for every lead that matches your trigger.
24. To manage it later, go to the Workflow List page and use the toggle — ON resumes the sequence, OFF pauses it. This is handy for campaign changes, testing, or seasonal promotions.
And that's all you need to understand how to build a WhatsApp drip sequence in telecrm.
Once it's published, telecrm takes over the follow-ups for you — reaching every matching lead with the right message at the right time, and stopping automatically the moment they convert.
