telecrm Automations
Creating & Capturing Responses
In the previous videos, we learned how to create a WhatsApp Flow and attach it to a WhatsApp Template. Now it's time to see how to create Workflow automations for a Flow and capture the responses they submit inside telecrm. By the end of this video, you'll know exactly how to collect lead information through WhatsApp and keep it automatically linked to your CRM records.
Part 1: Sending a WhatsApp Flow Based on an Incoming WhatsApp Message
- Navigate to Automations from the side navigation bar.
- Click Create Workflow in the top-right corner.
- Under Select Event, choose WhatsApp.
- Select On WhatsApp Received Notification.
- Click Next.
- If workflows already exist for this event, a yellow notification bar will appear displaying the existing workflows.
- Click Continue Anyway to proceed.
- If no workflow exists, you will be taken directly to the workflow builder.
- The workflow builder will open with the Event Trigger node already added to the canvas.
- To ensure the workflow is triggered only when a specific WhatsApp message is received:
- From the Actions section, drag and drop the Event Condition box
- Connect the Event Trigger node to the Event Condition node.
- Click the three dots (⋮) on the Event Condition node and select Edit.
- Configure the condition as follows:
- Select Message Text.
- Enter the specific WhatsApp message that should trigger the workflow.
- Click Save.
- From the Actions section, drag and drop Send WhatsApp Template or Interactive. (Note: We are connecting an Interactive Message Template for our case; if you have created a WhatsApp Template, then you may connect the same. All steps are exactly the same for both.)
- Connect the Green (True) node of the Event Condition node to the Send Interactive node.
Understanding Node Connections
- Green Node: Executes when the condition is true.
- Red Node: Executes when the condition is false.
- Click the Edit option
- Select the WhatsApp account to be used (if multiple accounts are available).
- Set Message Interval to Every Time.
- Click Select Interactive.
- Search for the required Flow.
- Select the Flow and click Select.
- Click Save.
- Click Publish.
- The workflow is now live.
Part 2: Capturing WACA Flow Responses and Updating Lead Fields
- Navigate to Automations.
- Click Create Workflow.
- Under Select Event, choose WhatsApp.
- Scroll down and select On WACA Flow Replied.
- Select the WACA Flow that was used in the Interactive Message.
- Click Next. The workflow builder will open with the Event Trigger node already present on the canvas.
- From the Actions section, drag and drop Update Lead Field onto the canvas.
- Connect the Event Trigger node to the Update Lead Field node.
- Click the three dots to Edit.
- Click + Add/Update Another Field.
- Select the lead field that needs to be updated. For example, in this case, we have to map the Course field with the Course name variable of WACA flows; furthermore, remarks, budget, and start timeline.
- Map the selected field to the corresponding WACA Flow Response Variable.
- Repeat the process for all required fields.
- Click Save.
Example
Lead Field WACA Response Variable
NameName ResponseEmailEmail ResponseCityCity ResponseQualificationQualification Response
Map fields according to your WACA Flow configuration.
15. Depending on your business process, you may add additional actions after updating the lead fields, such as:
- Update Lead Status
- Change Assignee
- Create a Task
Connect these actions as required.
16. Click Publish.
The workflow is now live and will automatically capture WACA Flow responses and update the mapped lead fields in telecrm.
That's how you can create workflows and capture WhatsApp Flow responses in telecrm. Once a lead submits the Flow, their responses are automatically stored, helping your team follow up with complete and accurate information.
