Creating a Schedule
There are so many things your team has to do on time, every single day — sending reminders, wishing customers on special days, pushing hot leads to the right agent, emailing reports to managers. Doing all of this manually is not just tiring; it's easy to forget. That's exactly where Schedules come in.
A Schedule is like setting an alarm for your CRM. You pick a time, choose which leads it should run on, and tell telecrm what action to perform — and from then on, it runs automatically, on its own
Let's dive in.
Steps of Creating Schedules in telecrm
Think of a Schedule as an automation that runs on a clock — at a time you pick, telecrm looks at a set of leads and performs an action on them, all on its own. To make things easier to follow, we'll build one example as we go: a "Webinar Reminder" schedule that sends a WhatsApp message every morning to any lead who has booked your upcoming webinar.
Section 1 — Open the Schedules Section
- Open the telecrm web app
- From the left-side navigation bar, click on the Automations icon, then click Schedules
- On the Schedules page, you'll see two tabs. Published shows all your live schedules, with a status toggle to turn them ON or OFF. Draft shows schedules still being set up — these don't run until published.
- You can find any schedule quickly using the filters — search by name, status, or event type. The list itself shows each schedule's Name, Events, Status, and Actions, where the Events column tells you when it runs (for example, Once, Every Day, Days of the Month, or Dates of the Month).
- The system also allows you to track the Total Schedule Runs, the Total successful percentage, and the total Failed Runs. This can be sorted for All Time, 24 hours, 7 days, or 30 days.
Section 2 — Create and Name Your Schedule
- Click Create a New Schedule at the top-right corner.
- In the popup, give your schedule a clear name—
For our example, we'll name it "Webinar Reminder". Then click Create.
- The visual editor opens with two default nodes: Schedule Time (when it runs) and Select Leads (Which set of leads you want to schedule for - please note that the automation will run for 10 thousand leads at a time).
Section 3 — Set When It Runs
- Click on the 3 dots on the Schedule Time node box, then click on Edit to open its configuration panel.
- Under "How often do you want to run your schedule?", choose one of the options: Once (a single time), Every Day (daily), Days of the Week (like Monday, Wednesday, Friday), or Dates of the Month (like the 1st, 15th, or 30th).
For "Webinar Reminder", we'll choose Every Day, so booked leads get a nudge each morning leading up to the session.
- Set the preferred date and time format and then click Save.
We'll set the time to 09:00 AM, so reminders go out every morning.
Section 4 — Choose Which Leads It Runs On
- Click on the Edit option on the Select Leads node box to open the lead filter panel.
- Select filters to target exactly the right set of leads.
For our example, we'll set one filter: Status is Webinar Booked — so the schedule only picks leads who have registered for the webinar.
- Keep in mind that a schedule can target fewer than 10,000 leads at a time. telecrm enforces this limit to keep performance smooth and execution predictable.
- Click Save.
Section 5 — Add the Action
- From the left sidebar, you can drag various actions — Send Template, Call API, Update Lead, Schedule Task, Schedule Google Meet, Email Lead Report, or Email Action Report.
- Drag the action you need and connect it after the Select Leads node.
For "Webinar Reminder", we'll click on Send Template.
- Click on the Edit option on the action node and fill in its details like: Which WhatsApp Account to use for sending the Template (this will be your WhatsApp API Account), To Phone Field (Which Phone number field of Client to target), Auto-Retry toggle will be used when you want the system to retry sending the template message if it gets failed, the total attepts made will be 3 in a 24 hours window, Template Language and lastly, the right approved WhatsApp template.
We'll select our approved WhatsApp webinar-reminder template here, with the date and joining link.
Section 6 — Validate and Publish
- Check the top header — telecrm shows an "N Error" chip if any required field is still incomplete. Click the chip and resolve each missing configuration.
- Once everything is filled in correctly, the header will show 0 Errors.
- Click Publish at the top-right corner. Your schedule starts running automatically at the time you set.
Our "Webinar Reminder" schedule is now live, and every morning at 9 AM, it will automatically WhatsApp everyone who's booked the webinar.
Section 7 — Manage Your Schedules
- To pause or resume a schedule anytime, go to the Schedules list and use the status toggle — OFF pauses it, ON resumes it. This is handy for seasonal campaigns, audits, or debugging.
Once the webinar is over, you can simply toggle this schedule OFF.
- To reuse a setup, click Clone to duplicate a schedule — ideal for different teams, cities, or similar use cases.
And that's how you create a Schedule in telecrm.
You've now set up an automation that runs entirely on its own — at the time you chose, on exactly the leads you picked, doing the action you set. No reminders to remember, no manual work every morning. Set it up once, and telecrm takes care of the rest.
