Downloading Activity Report
"Can we track everything our team is doing on every lead?"
And the answer is — Absolutely. telecrm does it automatically.
Every call, every message, every stage change, every note added, every field updated — telecrm logs each and every action inside the Activity History, building a complete lead journey from the first touchpoint to the final closure.
Nothing is missed. Nothing is lost.
Now let's understand how this Activity Report can be pulled out from telecrm — and turned into the constructive findings your business needs.
Steps to Download the Activity or Action Report
1. Open your telecrm Dashboard and go to the All Leads page.
2. In this example, we want to download the notes and remarks that our callers have added on the Qualified-Hot Leads. This will help us understand the next steps for each lead and the key details the team has captured — so we can take the right actions to close them.
3. First, we need to filter and pull out all the Qualified-Hot Leads. Click on Add a Condition.
4. The Filters section will open. Since Qualified-Hot is a Lead Status, select the Lead Status filter. Click on Options and choose Qualified-Hot. All the matching leads will now appear on the page.
5. Click on More Options and then click on Export Activity Report.
6. Here, we will create a New Configuration. Think of this as a saved template — once you set it up, you can reuse it anytime you need to download the same report. No need to start from scratch again.
7. Now choose the Action you want to download. Since we need the caller's notes and remarks, we will select User Notes and click Next.
8. On this page, select the Action Fields you want in your report. These are — the User Note which is the actual remark written by the caller, Campaign Name of the lead, Action Created By which tells you which team member wrote the note (you can choose to include or skip their email), and Action Created Date and Time (you can pick your preferred date-time format and even split the date and time into two separate columns if needed.) Click Next.
9. Now choose the Lead Fields you want to include. For this report, we are selecting — Status, Assignee, Name of the Lead, and Course Interested In. Click Next.
10. On this page, you can arrange the columns in the order you prefer for your report. We will bring the Lead Name first, followed by Status, Assignee, Course Interested In, and then the User Note. The remaining columns can stay as they are. Click Next.
11. Now give your configuration a name. We are calling it "Qualified User Notes" so it is easy to identify when we need it again. The file name will be automatically saved with the same name. Click Save. Your configuration is now ready.
12. This is an important step — choose the Date Range for which you want to download the notes. For our audit, we need data from 15th March to 15th April.
13. Click on Custom, then click on Month and select March. Choose 15th March as the start date. Click on Month again, select April, and pick 15th April as the end date. The full date range will be automatically selected.
14. We have 7 leads in our audit. Go ahead and click on Download.
15. The report will now move to the Report Downloads page. Go there, click on the completed report, and your file is ready to open and review.
And that's how easy it is to download an Activity and Action Report from telecrm.
Every detail your team adds on a lead is saved and ready for you to review, audit, and act on — whenever you need it.
