Excel Advance Distribution
In most sales funnels, different leads need to be handled by different people — based on their region, product interest, expertise, or the segment they belong to. And if you're manually sorting and reassigning leads every time you upload a new Excel file, you're losing valuable time that your team could be spending on actually selling.
telecrm's Advanced Lead Assignment feature takes care of this for you. Instead of a simple equal split, you can set pre-defined assignment rules that automatically send the right leads to the right team members — every single time you upload. Be it city-wise allocation, course-specific distribution, or any other custom criteria within your dataset, telecrm ensures every lead lands in the right hands — instantly, accurately, and without any manual effort.
In this video, we'll walk you through how to configure advanced lead distribution during your Excel upload
Let's understand the steps:
Step 1. For this example, we have a sample Excel sheet called "Student's Records" that we'll be working with.
Step 2. Our goal is to assign leads based on the Course Name column — so that each course is automatically handled by its designated team member.
Step 3. Navigate to the Add Leads option in telecrm and click on Add From Excel.
Step 4. Select the Student's Records Excel file from your system and upload it.
Step 5. Complete the Lead Field Mapping as covered in the previous lesson and click Next to proceed.
Step 6. Allow the system to run its duplicate check and click Continue once it's complete.
Step 7. Select the appropriate Campaign option — either create a new campaign or use an existing one, based on your requirement.
Step 8. Now comes the most important step — switching from Simple to Advanced lead distribution. This is where the magic happens.
Step 9. Click on the distribution toggle and switch it from "Simple" to "Advanced."
Step 10. Select the Excel column whose data will serve as the basis for your advanced distribution. In our case, that's the Course Name column.
Step 11. Under the Select Value section, choose the first course name — Aakash National Talent Hub Exam (ANTHE).
Step 12. Corresponding to this course, select the Assignee who will be responsible for handling all leads under this course and click Distribute.
Step 13. Next, click on Add Row to map the next course.
Step 14. Select NTSE KVPY as the course name and assign the right team member for this course as well.
Step 15. Continue this process to map every course name to its designated assignee in the same manner.
Step 16. ⚠️ Important: Make sure that every value in the selected column is mapped to an assignee before proceeding. Leaving any value unmapped will pause the upload process and prevent the file from being submitted successfully.
Step 17. Once all mappings are complete, click the Upload button to finalise.
Step 18. Your Excel file is now successfully uploaded with the Advanced Lead Distribution fully configured — every lead will be automatically assigned to the right team member based on their course!
