Scheduling Reports Via Email

With the Email Report Scheduling, you can set up any report — whether it's your Leaderboard, Action Report, or Leads Report — and have it delivered straight to your inbox, automatically. No more logging in just to pull a report. No more forwarding data manually. No more follow-ups on "Can you share today's numbers?"

In this video, we'll show you how to schedule and send reports via email directly from telecrm — so your entire leadership team stays informed, aligned, and ready to act.
Steps to Schedule & Send Reports via Email in telecrm
1. Open the telecrm web app and click on Automations. From there, navigate to the Schedules option.
2. Click on Create New Schedule and give it a name. For this example, we'll call it "Daily Email Reports." Click Create.
3. You will now see 3 broad report types available to schedule — Leads, Action, and Leaderboard. Let's go through each one.
LEADS REPORT
4. Let's start with the Leads Report. Click on the Email Lead Report action, drag it below the Leads Condition box, and connect the nodes.
5. Just 3 simple steps, and your report is scheduled.
6. Step 1 — Set the Schedule Timing. Choose when and how often this report should be sent. You have 4 options —
- Once, for a one-time report on a specific date
- Every day — for a daily report
- Days of the Week — to target specific days
- Dates of the Month — to target a specific date every month
For this example, we are going with Everyday and setting the delivery time to 9:00 AM every morning.
7. Step 2 — Select the Right Leads. Choose which leads should be included in this report using the available filter conditions.
For this example, we want to send a report of our Closed Leads every day. Click on the Lead Status filter, select Enrolled, and click Save.
8. Step 3 — Configure the Email Template and Add Recipients. If you are setting this up for the first time, click on Create Configuration. Select the lead fields you want to include in the report and click Next. Give the configuration a name and click Save and Export.
Click on Use This to apply this configuration to the email schedule.
Now add all the email IDs of the people who should receive this report. You can also edit the default email body and write your own custom message. Click Save.
Your Daily Leads Report Email Schedule is now ready. Click Publish, and it's live.
ACTION REPORT
9. Now let's set up the Action Report, which lets you schedule a report for any specific activity like Calls, WhatsApp messages, User Notes, and more.
10. Select the Action Report option and update the condition by clicking on the Action Performed filter. For this example, we are selecting Incoming Call, Outgoing Call, and Missed Call to schedule a daily Call Action Report.
11. Click on the Email Template Configuration and select SIM Call Action. Create a new report configuration with the desired call and lead fields. Give it a name and click Save.
12. Now add all the relevant email IDs for the recipients. You will also see an additional step here — selecting the Date Range of the call activity to be included in the report. Your options are — Today, Yesterday, This Week, and Last Week.
13. Edit the email body as per your preference and click Save. Your Call Action Report schedule is ready.
LEADERBOARD REPORT
14. Finally, let's set up the Leaderboard Report — which covers your team's daily performance, including total calls, call duration, sales figures, stage changes, WhatsApp messages, and star ratings.
15. Select the Email Leaderboard Report option. Since this report covers overall team performance and is not lead-specific, you can go ahead and delete the Leads Condition as it is not needed here.
16. Click on Edit Email Template and select the Report Interval — this defines the time period of the leaderboard data that will be included in the report.
17. Now repeat the remaining steps — add all the relevant email IDs of your recipients and customise the email body as per your preference. Click Save.
18. Your Leaderboard Report is now scheduled and ready to go.
Scheduling Directly from the Leaderboard Page
19. Here's a quick alternate way to schedule your Leaderboard Report — especially if you are already working on the Leaderboard and want to schedule it without going through the Automations menu.
20. Simply click on the Schedule Icon directly on the Leaderboard page.
21. You will be redirected to the same Schedule page, where you can follow all the same steps to configure and publish your report.
And that's how simple it is to schedule and send Reports via Email in telecrm.
