How to Download Call Report
You've seen the data. You know the numbers. But what happens when you need to dig deeper? That's where downloading the Call Report from telecrm becomes your most powerful tool. In this video, we'll walk you through exactly how to download the Call Report — and more importantly, understand what's inside it. From key reporting metrics and call information to complete lead details — everything that goes into the exported report, we're covering it all.
Steps to Download the Call Report
1. Navigate to the Reports option in telecrm and click on Call Report.
2. For this example, we'll be downloading the Weekly Report.
3. Scroll to the bottom of the graph report, and you'll find a Download icon. Click on it, and a Report Configuration tab will appear.
4. This is where you create your report configuration — selecting the exact activity and field details you need. The best part? Once saved, this configuration can be reused every time you need to download the same report. No setup required again.
5. Click on Create New Configuration.
6. First, select the right Action for your report. telecrm offers multiple action types — SIM Call Actions, WhatsApp Message Actions, Lead Status Change Actions, Lead Field Change Actions, and more. Keep in mind — one report supports only one action at a time. For our example, we'll select SIM Call Action to download the call activity. Click Next.
7. On the next page, you'll see a list of Action Fields that can be included in your report. These are — Called On Number, Call Start Time (with a custom date and time format option), Call Date and Time in separate columns (enable if needed), Call Type, Call Duration in Seconds, Call Feedback, Call Note, Caller Name (with an option to include or skip the caller's email), First Attempted Contact, First Successful Connected Contact, and Campaign Name. We are selecting all 10 action fields for this report. Click Next.
8. Now select the Lead Fields you need. For this example, we're keeping it focused — Status, Lost Reason, Assignee, and Workspace Name. Click Next.
9. Here comes the interesting part — you can fully customize the column sequence of your report. Let's drag Workspace to the top, followed by Assignee, Status, and Lost Reason. The rest of the columns look good as they are. Click Next.
10. Now give your configuration a name. We recommend keeping it generic so it can be reused for future requirements with the same action and field details. We're naming it "Call Report" — and this name will be auto-fetched as the file name as well. Click Save. Your Report Configuration is now saved.
11. One last and crucial step — set the Date Range for your report export. telecrm gives you flexible options — Today, Yesterday, Last 7 Days, a Custom Date Range, or a full Month selection.
12. For a custom date range — let's say 1st to 14th April — simply click on the start date and the end date, and the entire range gets auto-selected.
13. For a monthly report — click on the Month, select the desired month, and choose the 1st and last date of that month.
14. Since we're downloading a Weekly Report in this example, we'll go with the Last 7 Days option. Click Download.
15. Next, navigate back to Reports and click on Report Downloads to view all your exports.
16. All downloaded reports will appear on this page. Once the status shows Completed, click to download and access your final report.
17. Let's take a quick look at the export — all your customized call action fields are right here, neatly organized and ready for evaluation based on the metrics you selected.
