Importing existing Actions

Importing existing Actions

When you move to telecrm from another CRM or vendor platform, your leads are only half the story — the real history lives in your actions. Every follow-up remark added, every note, every order number, and update from the past or current active customer base is what tells you where each customer stands today.

So when you switch platforms, you don't want any of that left behind.

The good news is, telecrm lets you import all your existing actions from your previous platform — so nothing gets missed, and every record stays intact with the full journey of each lead available inside telecrm.

Steps of Importing Existing Actions into telecrm

Section 1 — Prepare Your Data File

  1. Once you've downloaded your existing data from your previous vendor platform, make sure the Unique Lead ID is present in the sheet. If it isn't there, add a new column and fill in the data for it.
  2. In our sample sheet, the unique ID is the primary phone number, which already exists.
  3. Keep the sheet in a clean, continuous structure — rows and columns with no line breaks or gaps. A few formatting tips:
  • If an alternate phone number exists, create a separate column for it rather than putting two numbers separated by commas in a single cell.
  • If any file or media attachment is included, make sure it's in URL format only, so it can be mapped to the telecrm fields.

Section 2 — Create the Custom Action

  1. Now, let's create a Custom Action with all the column headers you need to import. Open the web app and log in with your Admin account.
  2. Go to Settings and click on Custom Actions.
  3. Click on Add a New Action.
  4. Give your Custom Action a clear title for easy identification.
  5. If you'd like, change the title icon to one of your choice.
  6. Now for the important part — create all the field types you need to import and map against your Excel columns.
  7. Once all the fields are created, click Create to save your Custom Action.

Section 3 — Upload the Actions

  1. Let's move on to uploading the actions.
  2.  Important: Before importing actions, ensure that all the corresponding leads have already been added to telecrm. Actions can only be imported for existing leads.
  3.  On the side navigation bar, click Add Leads(s), then click Add from Excel.
  4. Click on the Import Actions option, then click the Plus icon under the "Action to be Created" section.
  5. Select the Custom Action you just created, where these actions will be stored.
  6. Click Upload File, then select your file and open it.

Section 4 — Map and Process

  1. The system will first ask you to map the Unique Identifier of your workspace.
  2. Then map the remaining action columns to their relevant field types.
  3. Once mapping is complete, click Create Action. You'll be redirected to the report download page, where the action is processed in the background.
  4. When processing is finished, click View Leads to see the matching leads along with the actions you just uploaded.

And that's all you need to understand on how you import your existing actions into telecrm.

All your past activity from your previous platform is now safely inside telecrm — mapped to the right leads, with no history left behind. Your team has the full journey of every customer right in front of them, so they can carry on without missing a beat.
