Manage User's Availability
Worried about what happens to your new leads when a team member is on leave — for a day, a week, or even longer? With telecrm's User Availability Status feature, you never have to worry again.
As an admin, you can mark any user as On Leave, and telecrm will automatically redirect their incoming leads to a chosen active team member. No manual follow-up. No lost opportunities.
But before you mark anyone as On Leave, there are two things you need to set up first.
One — your Integrations, so incoming leads are redirected to the right person.
Two — your Workflows, so the absent user doesn't receive any new leads.
In this video, we'll walk you through both — so when you do mark a user On Leave, everything runs smoothly on its own.
Let's learn how to manage lead distribution on your Integrations page.
- From the main menu, navigate to the Integrations page. You'll see a list of all your configured and active integrations.
- Click on the Manage option for the relevant integration. You'll be redirected to the Configuration page.
- Click on the three dots at the top right corner of the page and select Change Distribution from the dropdown. A list of all designated users in this distribution will appear.
- Check the box for Distribute Leads Amongst Selected Active Users Only — this ensures leads only go to available team members. You can hover over the information icon to confirm this.
- Now select the user who will receive the absent member's leads and click Distribute. Then hit Save to confirm.
From this point forward, whenever a team member is on leave, their leads will automatically flow to your selected active user.
Make sure to repeat this for all your active integrations to ensure complete coverage across your workspace.
Now let's learn how to manage lead distribution within your Workflows.
- Click on Automations from the main menu, then click on Workflows. Open the published workflow that needs to be updated.
- Click Edit at the top right corner. Inside the workflow, locate the Update Lead Assignee action box — this is where the lead distribution rule is configured for your custom lead conditions.
- Click Edit within that box. Select the checkbox for Distribute Leads Amongst Selected Active Users Only. Then select the user who will receive the absent member's leads and click Distribute.
- Click Save — and repeat these steps for any other assignment actions within the same workflow.
- Once all edits are complete, click Publish to push the changes live. Your workflow will now automatically handle lead distribution based on availability.
Now that your integrations and workflows are fully configured, here's how to mark a team member as On Leave in just a few steps.
- Go to Settings from the main menu and click on Users. Select the name of the user you want to mark as On Leave.
- Click on their current Working status displayed at the top of their profile and select On Leave from the dropdown. The status updates instantly.
- From this moment, no new leads will be assigned to this user — until their status is manually changed back to Working.
And that's all it takes to delete a user. With telecrm's User Availability Status, you're always in control. Your leads never slip through the cracks, even when your team isn't at full strength.
Just remember — always configure your integrations and workflows before marking a user On Leave, so the system works seamlessly from day one.
