Manage Personal Templates
You called a lead. They didn't pick up.
What's the next move? — A quick WhatsApp follow-up to let them know you reached out.
There's a smarter way to do this.
With Message Templates in telecrm, you write it once, and it becomes your personal shortcut forever. WhatsApp, SMS, or Email — your message is ready to go in just one click, every single time.
In this video, we'll walk you through how to create and manage Message Templates for your personal login in telecrm.
Steps:
1. Open your telecrm Homepage and click on your User Profile icon at the top right corner.
2. From the User Profile, click on Message Templates.
3. You are now on the Message Templates page, where you can create shortcut templates for WhatsApp, SMS, and Email.
4. Let's start by creating a WhatsApp template. Click on Create Template.
5. In the Shortcut field, give your template a title so you can identify it easily. In this example, we are creating a follow-up message for the first attempted call — so we'll name it "followup." Remember — avoid spaces in the title. Keep it as one continuous word.
6. In the Body section, type your actual message content.
7. Here's an interesting feature — you can use Lead Variables to personalise your messages automatically. For example, after writing "Hi," you can add the Name variable and telecrm will automatically pick up the lead's name from their saved details. No need to type names manually every time.
8. You can use other lead details as variables too — wherever needed in your message.
9. Now, here's how to enable these variables. Go to Settings, click on Lead Fields, and open the field you want to use as a variable. Click on Edit, go to Properties, and turn on the "Can Use Variable" option. Save it and come back to the template page. For example, we are enabling the variable for the City field. You can do this for any lead field you need.
10. Once your message is ready, click on Create Template. Your template is saved and ready to use.
11. The same process applies for creating SMS and Email templates. For Email templates, there is one additional step — you will also need to fill in the Email Subject before saving.
12. Two important things to keep in mind —
(a) Message templates support text content only. Media files and attachments cannot be added. (Visual Cue)
(b) Templates created in your profile are personal to your login and can only be used by you — unless shared with others. (Visual Cue)
13. If you already have existing message templates saved elsewhere, you don't need to rewrite them. You can simply upload them directly. (Visual Cue)
14. To understand the correct upload format, click on Upload Template and download the Sample File. The sample shows you the required format — with the Shortcut as the template title and the Body as the message content. Variables are also shown in the sample and must always be written in double curly brackets.
15. Once you have formatted your existing templates to match this structure, click on the Upload section, select your file, and click Upload. Your templates are now ready to use.
16. Want to share your templates with a teammate? Simply click on Download Template and your templates will be exported as an Excel file. (Visual Cue) Share this file with your team member and they can upload it directly to their own login — no need to type anything from scratch.
17. Finally, to delete a template you no longer need — click on the template, and select the Delete option. Done.
