Excel Bulk Update
There are times when your leads are already in telecrm, but you need to add or update some information for them in bulk — maybe a new detail you've collected, or a field that was added later. Editing each lead one by one isn't practical, so telecrm lets you update them all together using a simple Excel upload.
In this video, we'll walk through it step by step — with a simple example.
Important Checks
Before you run an Excel bulk update, keep these two things in mind:
- Bulk update via Excel works only for existing leads — that is, leads already in telecrm, typically ones uploaded earlier via Excel.
- The phone number in your Excel sheet must include the country code — a mandatory "91" for India, or the respective country code if you're dealing with a multi-country audience.
A Quick Example
Let's walk through a simple case to see how this works:
- Say you uploaded an Excel sheet into telecrm 5 days ago, containing your students' names, phone numbers, and email IDs. Now you want to add the Course Name for those same students.
- You'd simply open the original Excel sheet, add a new column for Course Name, and fill in the course names against each student.
- That's it — the sheet is now ready to upload, and you can follow the steps below to update these leads with their course details.
Steps to Update Leads via Excel Upload in telecrm
1. Go to the Add Leads option on the web application and click on Add From Excel.
2. On the Excel upload page, select the Update Leads option.
3. Click Upload File, then select the Excel file from your system and open it.
4. Now select the column that uniquely identifies each lead. In most cases, this is the Phone Number in the current case — unless your workspace uses a customized unique Lead ID. Choose the Excel column that holds these values, then click Next.
5. telecrm will now check your uploaded data to make sure the format is correct.
- If the data is valid, you can move ahead.
- If there are errors, telecrm gives you an error file to download. Open it, review the issues, fix the data or format in your Excel file, and upload the corrected file again.
6. Once validation is successful, click Proceed with the Number of Rows.
7. You'll now reach the field mapping page, which has three parts:
- The left side shows the Excel column names from your file.
- The middle section gives you three update options for each field:
- Add — adds a new value to an empty field.
- Replace — overwrites the existing value in telecrm with the new value from Excel.
- Replace if Empty — updates the field only if it's currently blank in telecrm.
- The right side is where you select the matching telecrm lead field that should be updated.
8. Repeat this mapping for every field you want to update. (In our example, you'd map the new Course Name column to the Course Name lead field.)
9. You'll also see 2 settings:
- Add Leads to a Campaign — enable this to add the updated leads to an existing campaign.
- Add Leads to a List — enable this to add them to an existing list (This is optional)
10. Click Next to continue.
11. You'll now reach the final confirmation page. Since this action is irreversible, telecrm asks you to confirm before proceeding. Type "Confirm" in the box provided and click the Confirm button.
12. Your leads will now be updated successfully in telecrm. You may open the same set of leads and check that the Course Name update is done.
And that's all you need to understand to bulk-update your leads through Excel in telecrm. In just a few steps, you've updated a whole batch of existing leads at once — no manual editing needed.
